Missed call text back for contractors: how it works, what it costs and the texting rules (2026)
A plain guide to missed call text back for plumbers, HVAC techs, electricians and other trades. How the setup works, what the tools cost, the A2P 10DLC registration rule, and three texts you can copy.
You are under a sink or up on a roof. The phone rings. You can’t grab it. By the time you call back, the customer has hired someone else.
That is the problem missed call text back solves. When a call goes unanswered, the caller gets a text from your business within seconds. Google suggests “missed call text back for plumbers” and “missed call text back for contractors” because a lot of shops are asking the same thing. This guide covers how it works, what it costs, the texting rule that trips people up, and what to send.
The short version
- Missed call text back sends an automatic text to anyone whose call you miss. It keeps the caller talking to you instead of dialing the next company.
- It does not answer the phone. For emergencies and after-hours calls, you still need a person or an AI receptionist that picks up.
- You can get it three ways: a small text-back app, a feature inside software you already pay for, or a full AI receptionist that includes it.
- Business texting from a regular 10-digit number must be registered with the carriers (A2P 10DLC). Unregistered texts get blocked. Good tools handle this for you.
- Keep the first text short, name your business, ask what they need, and say when you will call back.
Why it works
Most people do not leave voicemails anymore. Plumbing owners on Reddit say the same thing over and over. In an r/Plumbing thread on missed calls, one owner wrote that urgent callers usually do not leave a voicemail; they just call the next company. What helped was an automatic text within about a minute asking what is going on and for the address. Even a 20 to 30 minute delay on the callback was fine once the caller had that text.
Another owner in the same thread put the limit plainly: text back buys you time, but for after hours you want something that actually answers.
That matches how we think about it. A text tells the caller they reached a real business that will get back to them. It does not fix the job if the basement is flooding.
How the setup works
There are two common setups.
1. Forward unanswered calls to the tool. You keep your number. You turn on conditional call forwarding (forward when there is no answer or the line is busy) with your phone carrier, pointing to a number the tool gives you. When a call is missed, the tool sees it and texts the caller. TextBack, Jobholler and many AI receptionists work this way. Your carrier sets the forwarding, so check their help page for the exact steps.
2. The tool is your business line. If your calls already run through software with its own number, like a CRM phone system or your FSM’s dedicated line, text back is usually a setting. Jobber’s Receptionist, for example, needs a Jobber dedicated phone number.
Either way, test it. Call your own line from a cell phone, let it ring out, and see what text arrives and how long it takes.
Your options and what they cost

Small text-back apps.
- TextBack is the simplest one we list. Starter is $49/mo for 500 texts and Pro is $99/mo for 2,000 texts. It sends two short AI messages to find out what the caller needs, then texts you a summary. It does not answer calls or book jobs.
A setting inside software you may already have.
- Jobber Receptionist has an “SMS send back” option. If a caller hangs up before Receptionist can start a conversation, it can text them. Jobber’s help center says it skips callers who already got a text-back in the past 24 hours.
- HighLevel has a built-in Missed Call Text Back setting, and you can also build it as a workflow triggered by unanswered calls. HighLevel’s help center notes the built-in setting texts on every missed call, even repeat calls from the same person a few minutes apart, and suggests a workflow with a wait step to avoid doubles.
- LeadTruffle includes missed-call text-back as part of a broader lead responder for Google LSA, Thumbtack, Angi and Yelp leads. Pricing is through a demo.
AI receptionists that answer the call. If you miss a lot of calls, or you take emergency work, an AI receptionist answers first and texts you the job. Jobholler starts at $85/mo. Wakeman starts at $149/mo for its after-hours plan. Rosie starts at $49/mo. See is an AI receptionist worth it for a small plumbing company for how to decide.
Do it yourself. Some people build it with Twilio and an automation tool. One builder on r/automation described a missed-call text system for a plumbing company that cost him about $8 to $9 a month in usage. That is one person’s report, not a quote. You also own the setup, the carrier registration and every fix when it breaks.
If you would rather have someone set this up for you, our company, AI Peak Biz, offers software plans for local service businesses that include missed call text back, a CRM pipeline and review requests. We list it alongside everything else so you can compare.
The texting rule that trips people up: A2P 10DLC
“Is missed call text back legal?” is one of the top searches on this topic. Here is the practical part.
In the US, texts sent by software from a regular 10-digit business number count as application-to-person (A2P) messages. Carriers require the business and its use case to be registered first. This is called A2P 10DLC registration. Twilio’s docs say it blocks messages to US numbers sent from a 10-digit number that is not tied to an approved A2P 10DLC campaign.
What that means for you:
- Ask any vendor who handles registration. Many do it for you. Some charge a setup fee for it. A tool that cannot explain this is a red flag.
- Expect a short wait. Registration is reviewed, so new numbers may not text right away.
- Keep the text about their call. A reply to someone who just called you is a different thing from a marketing blast. Do not add promos or coupons to the missed-call text.
- Name your business and honor STOP. If someone replies STOP, they should never get another text from that system.
- Don’t text the same person over and over. Jobber’s limit of one text-back per caller per 24 hours is a sensible rule for any tool.
This is not legal advice. Texting rules change and vary by state. If you plan to send marketing texts later, talk to your provider or an attorney first.
Three texts you can copy
Edit these so they sound like you.
During business hours:
Hi, this is Mike with Smith Plumbing. Sorry I missed your call, I’m on a job. What do you need help with, and what’s the address? I’ll call you back within the hour.
After hours:
Hi, this is Smith Plumbing. We’re closed for the night and will call you back after 7 AM. If you have water you can’t shut off, reply URGENT and our on-call tech will get your message.
Only promise an on-call tech if you have one and the tool actually alerts them.
For quote-heavy trades (roofing, landscaping, remodeling):
Hi, this is Dana with Green Ridge Landscaping. Sorry I missed you. Are you looking for a quote? Reply with the address and what you need, and I’ll get back to you today.
A few tips:
- Put your business name in the first line. People ignore texts from numbers they don’t know.
- Ask one or two questions, not five.
- Give a real callback time and meet it.
- Skip emojis and links in the first text. They can look like spam.
When text back is not enough
- Emergencies. No heat in January or a burst pipe needs a voice. Use an answering service or an AI receptionist that can reach your on-call phone.
- Paid leads. If you run Google Local Services Ads, Google now counts some missed calls as charged leads. Read Google LSA charges for missed calls: what contractors should do.
- Slow callbacks. A text buys minutes, not days. If you don’t call back, the text just delays the loss. See how fast contractors should respond to leads.
How to tell if it’s working
Track three numbers for a month:
- How many calls you missed.
- How many of those callers replied to the text.
- How many of those turned into booked jobs.
Your phone carrier or the tool can show the first number. If replies are low, rewrite the first text. If replies are high but bookings are low, the problem is your callback speed, not the text.
FAQ
What is missed call text back? An automatic text sent to anyone whose call you don’t answer. It lets them know you got the call and asks what they need, so they wait for you instead of calling another company.
Is missed call text back legal? Generally yes, when it is a direct reply about the call and you send it from a registered number. In the US, business texts from a 10-digit number need A2P 10DLC registration, and you should name your business and honor STOP replies. Check with your provider or an attorney for your situation.
Do I need a new phone number? Usually not. Most tools work by forwarding unanswered calls from your current number. Some features, like Jobber Receptionist, need the software’s own dedicated number.
Is there free missed call text back software? Some FSM and CRM tools include it in plans you may already pay for, so check your settings before buying another app. Standalone tools we list charge a monthly fee. A do-it-yourself build is cheap in usage but costs your time.
Should I get text back or an AI receptionist? Text back is enough if most of your missed calls are quote requests and you can call back within the hour. If you take emergency calls or miss more than a few calls a day, an AI receptionist that answers live is the better fit.
